Administrative Assistant | Real Estate & Transaction Support

$25-$27/hr | Contract-to-Hire | Full-Time
Monday-Friday | 8:00 AM-5:00 PM
100% Onsite | Downtown Minneapolis

Are you a detail-oriented administrative professional who thrives in a structured, process-driven environment? We are seeking an Administrative Assistant to support a specialized team within the real estate, title, escrow, and exchange services industry.

This is an excellent opportunity for someone who enjoys document management, data entry, transaction processing, compliance, administrative coordination, records management, and operational support. The role is primarily focused on backend administrative responsibilities with minimal phone work, email volume, or customer interaction.

Key Responsibilities

  • Provide administrative support to a small, collaborative operations team
  • Prepare, organize, review, and process transaction-related documents
  • Maintain accurate records and document management systems
  • Perform data entry, database updates, and information tracking
  • Support workflow management, file organization, and compliance requirements
  • Learn and utilize specialized proprietary software platforms
  • Assist with transaction coordination and operational deadlines
  • Ensure accuracy and quality control throughout administrative processes
  • Support internal teams with clerical, reporting, and organizational tasks
  • Maintain confidentiality of sensitive client and transaction information

Qualifications

  • 3+ years of administrative assistant, office support, operations support, or clerical experience
  • Experience in real estate, title, escrow, mortgage, banking, settlements, closings, property management, legal administration, or transaction processing strongly preferred
  • Strong data entry and document preparation skills
  • Excellent attention to detail and organizational abilities
  • Ability to manage multiple priorities and deadlines
  • Proficiency with Microsoft Office, including Word, Outlook, and Excel
  • Experience working with databases, records management systems, or proprietary software preferred
  • Strong written communication skills
  • Ability to work independently and as part of a small team
